Online Community Strategy

We are able to help whatever stage you are at in the growth of your online community. Contact us now to find out more.

1. Establish a Knowledge Base Collaboratively

Image

Heard about how wikis, Web 2.0, and Enterprise 2.0 can enhance collective intelligence and trigger self-mobilization in groups?

Many organizations struggle to keep existing knowledge bases up-to-date, relevant and useful. They often rely on a costly team to gather information, synthesize and update a knowledge base. While it is important to have individuals dedicated to coordination and facilitation, our solutions allow you to tap into the minds and contributions of diverse contributors by making the knowledge base an integral part of their work process.

Whether you are involved in technical support, product development, engineering, scientific research, policy development, or business/marketing, our solutions not only allow for easy self-service discovery of knowledge, but also facilitated contribution by an extended team that can, as you wish, extend beyond traditional organizational silos and boundaries. Plant the seeds of organic growth into your knowledge base, keeping it relevant and useful over time. Get customers, partners and employees from other departments involved in expanding your knowledge base.

Our knowledge platforms are not only multilingual but facilitate and encourage translation. We are partners in the National Research Council of Canada Wiki Translation Project(external link).

2. Create a Central Hub for Your Community

Are you looking for a lightweight, yet scalable platform to coordinate work with external partners, employees, individual contributors or contractors? Already using a generic platform like SharePoint or MediaWiki? Citadel Rock's wiki-based collaboration solutions are better for:

  • Team-based Project Work
  • Event Management
  • Collaborative Research Work

With secure and completely configurable Access Control, our solutions provide a central hub for your files, working documents, schedules, everything you need to make sure every team member is up-to-speed and in sync. New team members get the opportunity to learn more effectively, reducing the need for costly hand-holding.

  • Flexible Wiki-based Collaboration
  • Reduce Email Overload
  • File Repository
  • Version Control
  • Scheduling/Calendar
  • Discussion Forums
  • Easy Integration
    • To Existing Systems (e.g. Content Management Systems)
    • To Cloud-based Services (e.g. Google Docs)
  • All-in-one - Avoid Complexity of Multiple Systems

Not only do we provide the technology to make it happen, we will work with your team in analyzing and strategizing effective processes and optimal workflows for collaboration, in ensuring that the technology is configured and customized in the most appropriate way possible.

3. Communicate in Real Time

There will often be a need to communicate in real-time with members of your extended community, whether working together on projects or on knowledge. Our solutions incorporate online live chat, audio/video and web conferencing in order to provide the full range of tools suitable for each case:

  • Presentations
  • Training
  • Meetings
  • Customer Service/Support

Our Live Chat solutions range from enterprise class instant messaging to flexible low-cost widgets that can be added onto your existing websites, and linked into your central collaboration hub for ease of access and to manage workflow. These Live Chat widgets can include video and audio capabilities using your computer's webcam and microphone.

For full-scale presentations, training sessions and meetings, Citadel Rock integrates Big Blue Button, an open source web conferencing system allowing cost-effective and seamless online delivery of presentations to audiences, combining voice conferencing, web video, and online interaction. Participants can call in from a normal phone, as well as use their computer's audio capabilities should they wish. Originally designed for universities and colleges to deliver high-quality learning experiences to remote students without being burdened by exorbitant web conferencing fees, it is useful for a wide range of organizations and businesses.

4. Keep Everyone Connected and Informed

Nothing is more important to the members of your community than to be well-connected and informed. While a central hub for collaboration as mentioned above is highly productive for project coordination, there are often times when it is valuable simply to stay informed of what is happening in the background:

  • Status Updates
  • New Developments
  • Event Announcements
  • Sharing of Tips/Tricks

Microblogging/Enterprise Twitter

Citadel Rock integrates StatusNet, an open source microblogging platform for people in a community, company or group to easily broadcast or exchange short (140 character) messages online. Users can choose which people to "follow" and receive only their colleagues' or co-collaborators' messages. It is similar to Twitter, and can work with mobile short messaging.

Because of the short nature of these messages (especially when compared to email), it is possible for individuals to stay informed of a very broad scope of topics without spending much time or concentration. This form of communication is also less disruptive than instant messaging, and can often provide an effective real-time radar/scan of pertinent issues and collaborative activity, especially by managers, facilitators and coordinators.

Built-in Blogging/RSS

Our collaboration solutions also have built-in blogging and RSS capabilities that you can use to keep your entire organization informed. Call-to-actions can be made through the network of blogs, enabling viral dissemination of information. StatusNet microblogging messages can be used in conjunction with blogs, distributing headlines that link to more detailed blog posts for those who are interested to know more.

Video Broadcasting

In addition, video can be a compelling medium to keep your audience informed and involved:

  • Webcasts of Events
  • Presentations
  • Training Videos/Screencasts
  • Important Announcements
  • Call To Actions

No longer is video a costly and extremely technically demanding endeavor. With Web Video, a Webcam or Handycam and a good microphone/headset is all you need. Our solutions allow you to carry out simple editing online, without the need for any professional video editing software. You can even record the voice separately (e.g. for training videos/head set) and apply the voiceover within our web-based editing solution.

Citadel Rock integrates a range of best-of-breed Web Video solutions available today depending on the specific need, including Kaltura, an open source video platform that allows organizations of all sizes to easily, quickly, and cost effectively enhance their web sites with video and interactive rich-media functionality, including video management, searching, uploading, importing, editing, annotating, remixing, sharing, and advertising.

5. Grow Your Community

Image

Ideas don't grow alone. This is why Citadel Rock is committed to empowering our customers through building, maintaining and managing online communities that exhibit ongoing growth and increased involvement. Some examples include:

  • Customer Communities
  • Industry, Social or Political Groups
  • Research or Scientific Communities

Community management involves having a strategy for ongoing facilitation and outreach. Depending on the nature of the community, there may already be existing channels that can be leveraged, such as:

  • Knowledge Manager
  • Training Consultant
  • Customer Evangelist
  • PR and Marketing

But many times, the most unlikely candidate may turn out to be the best:

  • Enthusiastic Employee
  • Passionate Researcher
  • Volunteer Mentor
  • Delighted Customer

It is therefore our priority at Citadel Rock to never underestimate the potential for emergent contribution. We are able to help you:

  • Design for social interaction, to provide a secure and trusted environment for users to interact, build teams, and self-organize
  • Focus the strategy on collaboration, to provide a well-defined framework for process coordination, communication, and knowledge transfer
  • Identify the aspirations of users (e.g. through usage analysis, online surveys/feedback) to offer them the most relevant tools, information, and collaboration opportunities
  • Facilitate "e-commerce" of some sort (could be non-monetary), to help users create value through mutually beneficial exchange
  • Regularly monitor and evaluate the health and growth of a community through Social Network Analysis?

6. Monitor and Evaluate

Do you have an online community site and am wondering:

  • Who are the important people in your network of users? Who are the knowledge brokers?
  • Are there important contributors to your community that you do not know of?
  • Who can you approach to take on additional leadership or responsibility?
  • Has your network grown over time, and how effective is it in encouraging collaboration?
  • How effective are each of your site features in creating value for your users?
  • How can you keep account of the value of social or intellectual capital generated through the use of your site?

By applying Social Network Analysis, we are able to answer these questions. Steps can be taken to:

  • Make system changes to reflect new organizational dynamics
  • Develop custom user interfaces to facilitate users' ongoing collaboration
  • Modify content management frameworks to organize increasing volumes of content
